Manage reservations

You manage reservations in the dashboard, under Restaurant → Reservations. On the till, the Conciar app lets staff take bookings, run the waitlist and handle no-show fees.

See your bookings

  1. In my.conciar.com, go to Restaurant → Reservations.
  2. Use the arrows or Today to pick a day. Bookings are listed by time.
  3. Filter by status, or by where the booking came from: your booking page, your website widget or staff.

Search by name, email, phone or reference, and tick Upcoming days too to search ahead. The list refreshes every minute.

Statuses

StatusMeaning
PendingWaiting for the guest to pay a deposit or save their card.
ConfirmedThe table is booked.
SeatedThe guests have arrived.
CompletedThe guests have left.
No-showThe guests didn't come.
CancelledCancelled by the guest or by you.

On each booking, staff click Seat when guests arrive and Complete when they leave. After the start time, No-show appears. Click Confirm on a no-show to undo it.

Take a booking by phone

You need the admin or manager role.

  1. Click New reservation.
  2. Enter the guest's name and phone number, and optionally their email.
  3. Choose the number of guests, the date, the Length and a free time, or enter another time.
  4. Leave the table on Best fit, or pick tables yourself.
  5. Optionally add a Guest note and an Internal note, which only staff see.
  6. Optionally tick Ask for a deposit and enter the amount. The guest gets a payment link by email and text.
  7. Save.

If nothing is free, Conciar warns you; click Book anyway to book regardless.

Bookings you make yourself don't send the guest a confirmation email. They do get a reminder, if reminders are on.

On the till, staff can also take a booking: open the Calendar tab and tap New reservation, or press and drag on a table's column to choose the table and time.

Change or cancel a booking

You need the admin or manager role. Click a booking to open it, then:

  • Edit to change the time, party size, length, tables, notes or guest details. This is also how you move a booking to another table;
  • Resend deposit link if the guest hasn't paid yet;
  • Cancel…, with an optional reason. The guest isn't notified, so let them know yourself.

When a reserved table is needed on the till

The till doesn't block a table that's held for a reservation. Staff see a Table is held warning and can choose Open anyway. Press and hold a table to see its upcoming reservations. The 3D floor marks tables that are reserved today.

Waitlist for walk-ins

On the till, open the Calendar tab and then Waitlist.

  1. Tap Add party and enter a name, a phone number or email, and the party size.
  2. When a table is free, tap Seat.

With Auto-notify next guest switched on in Settings → Restaurant, Conciar texts or emails the first waiting party that fits as soon as a table's bill is paid, and holds that table for them. Set how long they have to respond under Response window (minutes); after that, the next party is offered the table.

Reminders and texts

In Settings → Restaurant:

  • Send Reminder Emails: an email before each confirmed booking that has an email address, with a link to cancel. Set when under Reminder Hours Before.
  • Send Reminder SMS: the same reminder by text message.
  • Send Confirmation SMS: a text when a guest books online.

Guests can stop texts from your restaurant through the link in their booking.

Your plan includes 100 text messages per billing period. After that, buy more in Settings → Plan & billing. When you run out, texts are skipped but emails are still sent. Deposit links and waitlist messages sent by text count too.

Insights

Admins and managers see bookings, covers, no-shows, cancellations, the share of online bookings, deposits and your busiest times, for today and the last 30 days.

Common problems

I can't create or edit a booking. Only admins and managers can. Other staff can seat guests and mark them completed or as a no-show.

The guest didn't get a confirmation. Bookings you make yourself don't send one. Guests who booked online get one by email.

A text message wasn't sent. You're out of text messages, the number isn't a mobile number, or the guest stopped texts from your restaurant.
