Keep stock in several locations

If you keep stock in more than one place, such as two shops, a storeroom and a bar, set them up as warehouses and locations. Conciar then counts stock per location, and you can move stock between them.

Add a warehouse and its locations

A warehouse is a building or shop. A location is a place inside it where stock lives, such as a shelf, a fridge or a bin.

  1. In my.conciar.com, go to Inventory → Warehouses.
  2. Click New warehouse, enter a Name and optionally a Code, and save.
  3. Click Add location on the warehouse. Enter a Code, for example A-12-3, and optionally a Name, for example Aisle A, shelf 12.

Switch a warehouse or location to inactive to hide it from stocktakes and transfers.

Deleting a warehouse

Conciar doesn't check whether there's still stock in a warehouse or location before you delete it. Move the stock out first.

Choose where a sales channel sells from

  1. In my.conciar.com, go to Settings → Sales Channels.
  2. Click Edit on the channel.
  3. Under Location Warehouse, choose the warehouse, or Shared stock (no dedicated warehouse).
  4. Save.

Sales on that channel take stock from that warehouse's locations first. If there isn't enough, the rest comes from your other locations, so a sale is never blocked by where the stock sits.

Move stock between locations

Transfers shows in the menu once you have at least two active locations.

  1. In my.conciar.com, go to Inventory → Transfers and click New transfer.
  2. Choose From and To. Add a note if you like.
  3. Search for the items and enter how many to Move. You only see items that have stock at the From location.
  4. Choose how to finish:
    • Move now moves the stock in one go. Use this when the stock arrives straight away.
    • Send takes the stock out of the From location now. You receive it at the destination later.
    • Save draft keeps the transfer so you can finish it later.

Sending is refused if a location doesn't have enough of an item. Conciar lists the items that are short.

Receive a transfer

  1. Open the transfer under Inventory → Transfers. It shows In transit.
  2. Under Arrived, enter how many of each item arrived.
  3. Click Receive.

Anything that didn't arrive is written off as lost in transfer.

StatusMeaning
DraftSaved, nothing moved yet. You can still change it.
In transitSent. The stock left the source and isn't at any location yet.
ReceivedArrived at the destination.
CancelledStopped. If it was already sent, the stock goes back to the source.

Moving stock never changes your total stock, only where it is. Only items lost in transfer lower the total.

Common problems

I don't see Transfers in the menu. You need at least two active locations. Add a second location under Inventory → Warehouses.

An item doesn't show up when I add it to a transfer. It has no stock at the From location. Check its stock per location on the Stock page.

My stock shows a number under Unassigned. That stock isn't at any location, for example because it's on its way in a transfer or it was counted before you set up locations.
