Find and manage orders
Every sale ends up as an order: from the till, QR ordering, the self-order kiosk, a tablet on a table and your own webshop.
Find an order
- In my.conciar.com, go to Management → Orders.
- Search by order ID or customer name, or filter by status and by date (Today, Last 7 days, Last 30 days).
- Click an order to open it.
Orders from test sales channels are hidden. Switch on Show test orders to see them.
On the till, the Orders tab lists the orders per day with day totals.
What the statuses mean
| Status | Meaning |
|---|---|
| Pending | Created, not fully paid yet. A table bill that's partly paid stays pending. |
| Processing | Paid. Sales at the till get this status once paid. |
| Completed | Done: shipped, or marked completed by you. |
| Cancelled | Cancelled, for example a tab closed without items. |
| Refunded | Fully refunded. |
On the order page
- Print receipt prints the receipt on your order receipt printer.
- The invoice section has an Email button to send the invoice to the customer.
- The activity log shows what happened to the order and when.
- For restaurant orders with courses, the courses panel lets you fire the next course to the kitchen.
Refund an order
You need the admin or manager role.
- Open the order and click Refund.
- Choose Refund entire order, or choose the items and quantities to refund.
- Confirm.
For online payments, the money goes back through your payment provider. Conciar creates a credit note automatically; you'll find it under Refund history, where you can view, download or email it.
For cash, card-on-a-separate-reader and gift card payments, the refund is only recorded in Conciar. Hand back the cash yourself; a gift card amount goes back onto the gift card.
Bills paid in parts
If an order was paid in several payments, for example split by seat, a refund only goes to the most recent payment.
Common problems
I can't find an order. Check the date filter, and switch on Show test orders if it came from a test channel.
There's no Refund button. The order has nothing left to refund, or your role isn't admin or manager.
