Take online reservations

Guests book a table on your own booking page at r.conciar.com/your-name, or in the booking form on your website. Conciar picks a free table that fits the party, so you don't have to approve each booking.

Open your booking page

You need three things:

  • Accept Reservations switched on in Settings → Restaurant;
  • at least one table with covers on a floor plan;
  • the restaurant business type on your plan.

The Booking page card in Settings → Restaurant shows your link, with Copy link and Open, and tells you what's missing if the page isn't live yet.

Under Your booking link, choose the name in your link: 3 to 30 characters, with lowercase letters, numbers, dots and underscores. You can change it once every 14 days; the old link keeps working and sends guests to the new one.

The Booking page card has the steps to add your link to your Google Business Profile, so a "Reserve a table" button appears in Google Search and Maps.

Set when guests can book

All of these are in Settings → Restaurant. Click Save Restaurant Settings when you're done.

SettingWhat it does
Operating HoursThe days and times guests can book. Add special days under Holiday hours, for example a closed day.
Default Duration (minutes)How long each online booking lasts. The last bookable time is your closing time minus this.
Buffer Time (minutes)How long a table stays blocked after each booking, for clearing it.
Time Slot Interval (minutes)15, 30 or 60: the gaps between the times guests can choose.
Min Advance HoursHow soon before the start guests can still book.
Max Advance DaysHow far ahead guests can book.
Allow Resource CombiningLets Conciar combine two or three tables for larger parties.

To close for bookings on certain days, set them as closed under Holiday hours. To limit a single table or room, set its hours on the floor plan.

The largest party guests can book online is your largest table, or your largest tables combined, up to 20. Bigger parties see a message asking them to contact you.

What your guests do

  1. Choose the number of guests.
  2. Pick a date and a time.
  3. Enter their name, email and phone number, and optionally a note, for example about allergies.
  4. Check the booking and confirm it.

If you ask for a deposit or a card guarantee, guests pay or save their card before the booking is confirmed. See Deposits and no-shows.

Guests get a confirmation email with a link to view or cancel their booking. They can cancel up to the start time; they can't change the date, time or party size themselves.

The booking page is in English, Dutch, German, French and Spanish. It opens in the guest's browser language, and guests can switch. Emails and texts go out in the language they booked in.

Your booking page also links to your gift cards and events when you sell them.

Put the booking form on your website

  1. In Settings → Restaurant, find Embed Code for Your Website and click Copy Code.
  2. Paste the code into your website, where the form should appear.

Your website then shows a Reserve a table button that opens the booking form. It follows the same rules as your booking page. Guests can add the booking to their calendar, and view or cancel it through the link in their email.

Get an email for each booking

In Settings → Restaurant, switch on Email Me New Online Bookings and Email Me Guest Cancellations. The emails go to your organization's email address.

Common problems

The booking page says reservations aren't available. Check the three things under Open your booking page. The Booking page card tells you which is missing.

A day can't be booked. It's closed in your Operating Hours or Holiday hours, it's further ahead than Max Advance Days, or it's fully booked.

Late evening times aren't offered. The last time is your closing time minus the Default Duration.

Bookings are confirmed without my approval. That's how online booking works in Conciar: a booking is confirmed when a table is free. To control who books, ask for a deposit or a card guarantee.
