Special events and tickets
A special event is a date and time with something special on, such as a wine dinner or a holiday menu. You can use it in two ways:
- With normal reservations: guests book a table as usual, and you can ask a deposit per person for bookings during the event.
- With tickets: guests buy tickets online and pay in full up front. During a ticketed event, normal table bookings are closed.
Special events are under Restaurant → Special Events and appear once your restaurant accepts reservations.
Create an event
- In my.conciar.com, go to Restaurant → Special Events and click New Event.
- Enter the Event Name and a Description. Use Content Language to add them in other languages.
- Set the Start Date and End Date, and the Start Time and End Time, or tick All Day Event.
- Optionally set a Deposit per Person. Bookings made for a time during the event pay this deposit.
- Set the Status to Published. Events in Draft are ignored by the booking page.
- Click Create Event.
Sell tickets
- On the event, click Tickets & no-show.
- Switch on Sell tickets.
- Set the Price per person and the VAT rate.
- Set Seats for sale (total), and optionally Max per booking.
- Choose the Seating:
- At tables: each booking needs a free table, as with a normal reservation.
- Seats only: no tables; everyone starts at the event's start time. The event needs a start time and can't be all day.
- Optionally set when sales start and end. By default, sales end when the event starts.
- Save.
During the event's hours, the normal booking page no longer offers tables; it points guests to the tickets instead. Ticketed events don't take a deposit.
For a ticketed event that lasts several days, Seats for sale is one total for all days together.
What your guests do
- On
r.conciar.com/your-name/events, guests see your upcoming ticketed events, with the price, seats left and when sales open. - On the event, they choose how many tickets, a date and, with seating at tables, a time.
- They fill in their details and pay online. Their table is held for 30 minutes while they pay.
After paying, guests get the reservation confirmation email, with their tickets, reference and amount paid. The booking appears in your reservations like any other.
See who has tickets
Click Tickets & no-show on the event. You see the tickets sold and remaining, your takings and the VAT in them, and a list of every buyer with their tickets and payment status.
Refund tickets
You need the admin or manager role.
- Click Tickets & no-show on the event.
- Next to the buyer, click Refund & cancel.
The full amount goes back through your payment provider, a credit note is created, and the reservation is cancelled. You can't refund part of a ticket order.
Guests can't cancel paid tickets themselves; their booking page tells them to contact you.
Cancelling an event doesn't refund tickets
Setting an event's status to Cancelled stops ticket sales, but doesn't refund or tell anyone who already bought tickets. Refund each buyer with Refund & cancel and let them know.
No-show protection for an event
For an event without tickets, Tickets & no-show lets you choose the no-show protection for bookings during the event: your restaurant's usual rule, none, or a card guarantee with a fee per guest or per booking. See Deposits and no-shows.
Common problems
The event doesn't show on the booking page. Check that its Status is Published.
Guests can't book a table during the event. The event sells tickets, so tables are only available through tickets.
A ticketed event shows Sold out. All Seats for sale are taken. Raise the number in Tickets & no-show.
